Production & Distribution

Map

Tomas Reed turns Leila's approved copy into the Alder Quay Bulletin email and two-page print edition for 5 November 2026. Imani Brooks checks that the result works for readers who use a small screen, assistive technology, or the library's printed copy. This branch expands into a production task list and a distribution-and-accessibility checklist.

Workflow from draft to delivery

Tomas keeps one copy ledger with each item, its source, fact-check owner, consent status, last verified date, and final approval. Drafts arrive by 19 October. Leila checks wording and factual claims; Imani reads the proof on a phone and on paper by 26 October. Tomas then prepares an internal test send. Only Leila may mark the issue approved for release on 2 November. A test email is not the public launch.

The email uses real text headings, descriptive links, alt text for informative images, and a plain-text-friendly layout. The print edition uses high-contrast type, a clear issue date, and the same essential facts. If a photo or decorative banner fails, the event details must still be understandable. The team will avoid attachments in the email; readers can reply for a copy in another usable format.

First-issue delivery checks

  • Recheck the library, garden, and hall notices against their named sources before locking copy.
  • Test every link and the reply and unsubscribe routes; send the proof to the three-person team only.
  • Read the complete email without images and check the print proof at its actual size.
  • Confirm the library and hall will accept printed copies before ordering; record quantity and the total against the £120 ceiling.
  • Keep the recipient list private, use opted-in addresses only, and never expose other subscribers in the send.
  • At launch, record the send time, print drop-off, any bounce or correction, and the person handling it.

After launch

Tomas will note delivery failures and remaining print copies on 12 November. Imani will collect specific accessibility problems without asking readers to disclose a diagnosis. Leila will use replies to decide what to improve for issue two. A smooth send is operational success; useful, trusted information is the editorial test.
